Mistaken identity is preventing us from renting an apartment

This is a follow up from my post I made yesterday. It turns out the owners of the apartment we applied for ran a ccap (consolidated court automation program) and found a case from 2017 involving someone with the same name as my gf, but who already lives in Wisconsin. Is there anything we can do to make them do a more refined search? How can we prevent this from happening to other apartments we apply for?
