Linking information between Office applications probelm.

Hello! I have been attempting to find a way to link the information between an expenses spreadsheet and a word document. I found out how to link it and have it automatically update on my own computer but there is a catch. When i sent both of them over to a co-worker the link was removed. Is there any way for me to create a link between the two files that would stay after sending it to someone else? Thanks!
