Looking for a way to populate a calendar if people are not going to be on site

I'm trying to take the column on the left (which is extracted from another calendar) and have another calendar populate from there on the right to tell us who will be out, and for what reason. I think there is definitely a way to do this, I was trying to use the COUNTIF function with some other conditions but I think it is getting messed up. Let me know how I can get this to work. Worst case scenario, we can use the column on the left for an easy way out, but I am trying to get rid of all the dead green space. Thank you!!
