Role Summary:
The Administrative Assistant role at The Max Foundation represents a critical frontline, in-office presence and support function for the organizational headquarters and team. The Administrative Assistant serves as a support for the management team and all departments. In addition, the person in this position creates a welcoming environment and positive first impression for individuals who visit or call The Max Foundation; and plays a key role in conveying The Max Foundation’s gratitude to supporters and partners. We are looking for an enthusiastic team member who is mission driven and ready to take on both the challenges and opportunities of helping people around the world face cancer with dignity and hope.
Responsibilities:
Answer telephone, respond to requests for information, and welcome office guests;
Provide general office organization and ordering of office supplies;
Provide general office support with copying, filing, shredding and mail service;
Serve as the lead contact for office vendors;
Provide administrative support to all departments for special projects;
Perform general office duties including filing, scanning, copying and coordinating bulk mailings;
Maintain filing systems and perform record-keeping duties;
Support office-wide emergency preparedness;
Serve as an ambassador for the organization at all times both formally and informally; and
Perform other duties as assigned.
Qualifications:
Associate’s Degree required, Bachelor’s Degree preferred;
Two plus years of work experience in a professional setting; international non-profit experience a plus; 200 NE Pacific St, Ste 103 | Seattle WA 98105 USA

Proficient in MS Office Suite, including MS Excel and MS Word;
Strong organizational ability and attention to detail;
Demonstrated writing and copy-editing skills;
Experience managing bulk mailings, international mailing experience a plus;
Must be flexible and able to work with frequent interruptions;
Ability to work diligently independently and enthusiastically as part of a team;
Ability to prioritize and work on multiple tasks at one time;
Ability to grasp new knowledge and to quickly become an expert in new skills;
Excellent customer service skills and ability to maintain confidentiality; and Excellent communication skills and positive customer service abilities
