I am a fifth-semester US PhD student and this semester I have to give my research proposal presentation (1 hr) and my candidacy exam (2 hr).

Last month, I sent out the when2meet link to all my committee members (4 people) asking what times they would be available during the 4th and 5th weeks of the semester so I could schedule a time for the exam. At maximum, only 3/4 people could be available at a time.

Last week, I sent out 2 when2meet links, this time proposing to do the candidacy exam and proposal presentation at separate times (the 6th and 7th weeks of the semester for the research presentation, and the 10th and 11th weeks for the candidacy exam). Again, only 3/4 committee members at most could meet.

I do not know what to do at this point. We are already at the 3rd week of the semester and if I choose different weeks this semester and send out a when2meet form again, I am afraid that once more I will not find a time when everyone is available. I need to have the exam and the proposal presentation done by the end of the semester.
