New, have a question about guiding the AI to a specific source

Is there a way to make ChatGPT or another AI reference only one thing? At work I often have to deny tickets (not IT related) based on our organizations policies, rules and guidelines, but doing it in concise, polite, and factual manner. I have some saved responses I often use, but Iād like to support my arguments more. Management often overrules our denials, even when we are following policy, so Iād like to cover all my bases when writing these denials.
