How to handle a legal document that requires a dead name

Hi, I work in a rather small leasing office and one of our tenants is in the process of transitioning. I know their chosen name and I use that in general but I need to have them sign a document that requires their legal name. Should I just send it to them and not say anything about it or is it best to apologize for not being able to use their chosen name? This is the first time this has happened and I would like to address it as best I can. Thank you!!

Update: I didn’t apologize, but I did send them a quick email just saying I had to use the legal name and wanted to let them know there was no malicious or disrespectful intent. They responded and said they understood and they appreciate the concern.
